Expanding Compliance and Security Supervision and Archiving Coverage for Modern Communication Systems

Advanced Timeline Search and Conversation View for Chat and Document Sharing

Theta Lake has delivered a major advancement in the supervision of chat conversations and file sharing. This first of its kind solution enables organizations to perform context rich investigations of increasingly complex discussions that occur over time across modern collaboration tools like Slack, Microsoft Teams, Webex, RingCentral and Zoom. Conversations which range from days to years, and frequently include documents and files laden with information.

These industry-first investigation capabilities power a full timeline and conversation search across a completely native view of chats spanning the entirety of their history. Compliance and security teams can search for key risks, such as confidential data being shared, and see any parts of the conversation where they occurred.

In today’s workplace where the majority of communications are taking place across modern collaboration tools, this advancement makes effective investigations possible, providing the most efficient and effective method to identify risks in chat and file sharing.  Theta Lake’s capabilities for remediating and removing files ensure risks don’t remain exposed in chat channels and conversations.  The advancement overcomes the limitations of legacy approaches that capture chats as time bound chunks, as if they were emails, missing context of conversations over time and making it impossible to follow where files were present.

Enhanced Audit Trails with Disclaimer Acknowledgment (Microsoft Teams)

Microsoft Teams logo

Theta Lake has delivered new capabilities to solve the challenges of evidencing compliance with key regulatory obligations when customer meetings take place over video.  This industry first advancement enables organizations to display their organization’s customized disclaimers and disclosures onscreen during Microsoft Teams meetings and capture the acknowledgment as part of the archived record.

A mandatory requirement for firms in regulated industries like financial services, disclaimers disclose key information about the firm, products or services being discussed and ensure customers understand the associated risks, features or protections. For example, whether the information being provided should be considered ‘advice’.  With customer meetings increasingly taking place through video, this unique capability to capture both the disclaimer and the customer’s acknowledgment enables firms to meet regulatory supervision and record-keeping requirements including SEC rule 17a-4, FCA SYSC rules and IIROC rule 29.7.   It also provides key evidence needed for assessing customer complaints.

This valuable development expands on Theta Lake’s Microsoft Recording Certification, and adds to our archiving, compliance and risk mitigation coverage for audio, video and chat across Microsoft.

Enhancing and Innovating Compliance and Security Risk Detection and Handling

Advanced Detections for Compliance Risks - Financial Complaints

Financial service organizations need to supervise communications for complaints so they can identify, address and report complaints data to regulators in order to comply with strict regulatory requirements. Theta Lake’s advanced detection for financial complaints enables firms to pinpoint the highest risk complaints made via collaboration platforms like Slack, Microsoft Teams, Webex, RingCentral and Zoom, enabling them to prioritise and action them appropriately.   These complaints about financial matters such as incompetence, unfair fees and commissions or lies and criminality can be handled and reported distinctly from those relating to more general non-regulatory service related or administrative matters.

The need to meet regulatory requirements range from FINRA’s supervision rule 3110 and reporting rules 4530(a)(1)(B) to FCA’s DISP 1.1 A, 1.3 and 1.10 complaint handling and reporting rules.  Swift identification and resolution also enables firms to rebuild relationships with customers when things go wrong, reducing the likelihood of negative publicity and reputational damage.

Theta Lake’s advanced AI-based identification techniques enable new and emerging compliance and security issues and risks to be detected and supervised.  Our state-of the art machine learning and natural language processing understands communication content in context, analyzing new unseen data while accounting for errors, overcoming legacy supervision approaches based on simple word searches or lexicons.

Unique Detections for Regulatory Priorities - Cryptocurrencies

cryptocurrency

Theta Lake has introduced a new detection to identify conversations related to cryptocurrency.   Given the emerging regulatory focus from regulators worldwide on the trading of cryptocurrencies and the related risks, transparency into these conversations is key.   The new detection enables compliance teams to pinpoint relevant conversations related to cryptocurrencies, across modern collaboration tools like Slack, Microsoft Teams, Webex, RingCentral and Zoom, whether in messages, video, audio or attachments, so they can take immediate or required action.

Extended Detections for Workplace Misconduct - Bullying and Abusive Language

Theta Lake has expanded its detections designed for the modern workplace to include bullying and abusive language found in collaboration communications across tools such as Microsoft Teams, Webex, Slack, RingCentral, Zoom and more. The ability to detect behavior and language that creates a hostile, intimidating or demeaning work environment expands the valuable misconduct detections already in place ranging from hate and racism to threatening behavior.

With more and more day-to-day workplace interaction between employees, customers, and partners taking place via collaboration tools it’s never been so easy for any participants to digitally record, screen capture, and reproduce any image or communication.  With heightened awareness, receptivity to public exposure, and real repercussions for unacceptable behavior, it’s critical for firms to be aware of conduct issues in the collaboration-first workplace as this financial services firm found out.  Organizations that don’t stay ahead of handling and addressing conduct issues face significant liability and reputational exposure.

This latest capability adds to over 70 automated detections driven by AI, ML and NLP , identifying risks across video, voice, chat, and document content in what is shared, shown, spoken, and typed during collaboration sessions.  It includes the ability to alert HR, security and legal teams of the need for review and action, as well as the ability to remove offensive and inappropriate content from persistent communication threads and channels in chat.
