Theta Lake is proud to expand its supervision and archiving coverage for Microsoft Sharepoint. This new integration aligns with the accelerated adoption of Microsoft Teams, which reached a new milestone of 250 million monthly active users in July, and its close interaction with Sharepoint in firms using Office 365. Microsoft Sharepoint is now a content source enabling customers to compliantly archive and supervise both:

  • Sharepoint Discussion Boards: covering the boards, discussions within them, and replies to discussions plus
  • Sharepoint Pages: including comments on a page, replies and likes.

This latest integration extends Theta Lake’s recording, archiving, compliance and risk mitigation coverage for audio, video and chat across Microsoft.  Sharepoint Discussion Boards and Pages adds to existing integrations available to customers which include Teams Meetings, Teams Chat, Realtime Compliance Advisor for Teams, Azure Storage for archiving, OneDrive, Azure Active Directory SSO, and Outlook / Exchange Online for remote archiving.

Enhancing and Innovating Compliance and Security Risk Detection and Handling

Theta Lake has delivered a significant advancement in the effectiveness of information barrier controls.  New capabilities deliver a first of its kind solution designed to provide a macro-view across all modern collaboration tools, enabling monitoring, detection and alerting of violations, whilst bolstering the built-in features of individual software vendor partners.

Monitoring the appropriateness of information sharing is essential for organizations to reduce risks such as data leakage or non-adherence to non-disclosure agreements. For financial services firms, information barriers are required by regulators to prevent collusion and insider trading by restricting material non-public information being shared between research and investment banking teams.

The practical reality of having multiple communication tools in place, such as a firm using Zoom + Teams + Slack + Symphony, makes it increasingly difficult and complex for organizations to ensure the effectiveness of information barriers.  This unique macro view is essential for enabling firms to monitor and evidence the effectiveness of barriers across all communication channels, and take action where needed.

Enhanced auto-remediation

Theta Lake has provided firms with enhanced options to remove risky content from chat messages.  Modern chat tools create significant challenges for compliance, legal and security teams because any typed chat, images, emojis, files or videos shared in tools like Cisco Teams, Microsoft Teams and Slack remain permanently exposed.  Being able to remove sensitive or confidential data, offensive material or malware links that would otherwise remain visible across group channels, one-to-one channels and private messages is critical.  The spectre of regulatory penalties or lawsuits relating to employee conduct, add to the significant repercussions of sensitive data being exposed and creation of persistent security vulnerabilities.  

Theta Lake can both trigger alerts for specific content or communications with elevated risk scores and enable compliance or security teams to remediate the problematic content with the click of a button via direct integration with Cisco, Microsoft, Slack or other providers.   This latest enhancement gives organizations the option to set policies to automatically remove content of concern.  No other legacy archive offers this set of critical proactive capabilities.

Change of venue detection across communication tools

Theta Lake has delivered new capabilities to address the supervision challenges created by the growing use of multiple communication tools.  Firms need to be able to monitor the appropriateness of information sharing and collaboration to prevent collusion, insider dealing and data leakage.  But with more modes of communications available to employees than ever before, identifying conversations and interactions is a growing challenge for compliance and security teams.  Whether the switching venue from a monitored tool to an unmonitored platform is a serious deliberate action to evade supervision or not, firms need to be able to detect the change in venue to identify and address any risks.

Theta Lake’s delivery of a new detection with flexible risk scoring is designed to both identify changes of venue and prioritize risky behavior where the change of venue is intended to evade compliance and security monitoring.

Risks in communications relate to what was said, shared or shown as well as the participants that shared it.  Some participants may even be flagged by regulators as requiring heightened supervision.  Organizations need to be able to both identify risks within communications as well as track users that demonstrate or are identified as having an increased risk profile. 

Theta Lake has expanded its detections to allow organizations, with their own discretion and control, to assign risk scores to participants enabling tracking of their participation in particular conversations. In addition, Theta Lake also enables organizations to set policies that can increase the risk score of certain communications and automatically flag them for review or escalation based on the presence of participants that the organization has marked as having a higher risk profile.

Advanced directory services and single sign-on (SSO) integrations for extended participant and user tracking, reporting, user provisioning and policy creation

From properly assigning access for administrators, compliance or security staff to differentiating and setting policies for participants in the communications being monitored, the ability to securely integrate and authenticate using an organization’s directory and SSO implementations is a fundamental yet complex requirement. 

All too often the activity is not undertaken completely or effectively, all while creating significant deployment overhead as well as creating gaps in effective data protection and risk identification.  For example if the wrong users have access to the wrong information in a compliance tool, or  participants aren’t placed into the right monitoring groups.
